Questions & Answers

Many of you have asked some very valuable questions, either about how the Tracker works, whether certain features are able to be added, or to check whether an unexpected result might be due to a programming error, etc.

As a former IT guy, I know that no one is better at identifying issues and suggesting enhancements better than the people in the field.   So for that, we honor those who've given their opinions or advice, by creating this Q & A section.  Hopefully if someone else has the same question, they'll have this as a resource, and they'll have you to thank for it!

A1) Great question, Annette!  In the beginning, I didn't really think about printing formats, because I was so busy with everything else, I barely gave any thought to how it would print until after I already released the document.  Silly me!   Yes there IS a way to format the spreadsheet so it will print just 1 page wide.  I've prepared instructions on how to do it, and posted them in the How-To page of this site...

A2) Unfortunately, if a problem is discovered that results in bad calculations, then the spreadsheet you have should be replaced. It's not an exciting prospect to have to re-enter your data again, I know, but it really is the only way (that I know of) to get your data over to the new one.  In the end though, it's better to do it right now, than it would be, say, in August or September when you've been putting data into it all year.

Q2a) If I go ahead and put in 2007, will it automatically go in to 2008, or will I need to transfer it over?

A2a) The programming to transfer data from one year to the next is possible, but very complicated. Not to mention, it'd be different programming for every user. Excel needs the location of the 2007 version (located somewhere on your computer, on your desktop or in some folder of your C or D Drive), in order for the programming to be able to find the 2007 data, and then move into 2008. Again it IS possible, but really complicated. It would actually be easier to open both years side-by-side, look at the 2007's Ending Inventory from the DEC tab, and enter that data into 2008's Beginning Inventory in the JAN tab.

A3) No, you’re not doing anything wrong… this was a problem discovered on the Telephone/Web conference we had on 12/19/07... sorry about that.   It happened as a result of a massive change I did, to create those four categories for you (Added, Sold, Promo & Personal).  I've programmed the fix, and it was re-released with the date extension "1224".

A4) Since Mia Melts are sold by the company in bags of 10, the Tracker is programmed to deal with Mia Melt inventory by the bag of 10.  You'll notice, though, that in all Mia Melts rows of the Tracker, there is a decimal point, which helps you as an individual, manage Melts individually.

For example, I buy 10 bags of melts from the Back Office.  I add those 10.0 bags into my inventory.  I then use 6 melts out of a bag to make samples.   I then put 0.6 in my PROMO column, which leaves me with 9.4 bags remaining.

So if you break apart bags of Mia Melts for any reason, treat each individual melt as 0.1, or one-tenth of a bag.

Q5) How do I enter my Candle of the Month each time?

A5) Entering COTM scents is as easy as it can possibly get in the Tracker, because you only need to enter the scent name one time, and it copies throughout the rest of the year's remaining months automatically.  It will also copy to the COTM section of the SCENTS tab.

To enter the scent name, go to the month's tab where the COTM is needed, and look in column B, where ReplaceNameHere appears sideways (vertically);

Then, simply type in the scent name, and despite seeing the name entering in a little weird looking, as you can see below, everything will be okay;

Hit Enter, and the name appears "across the board" in all the appropriate places:

Q6) Can I delete the Retired scents I see, since I don't have any and won't be getting any?

A6) Yes, if you choose to, you can delete or add Retired scents to the RETIRED tab.  Any changes you make to the RETIRED tab will be automatically applied to the SCENTS tab's Retired Scents section.

If you see zeroes in the SCENTS tab, it's because there's no scent name for the Tracker to "bring in", from the matching row of the RETIRED tab.  Don't Worry! All you have to do is re-sort the RETIRED tab, and the zeros will drop to the bottom of the SCENTS list.  You can then hide the rows you're not using.

Q7) I have some scents that are discontinued in my inventory, but I don't see their names on the RETIRED tab... can I add discontinued scents to the RETIRED tab?

A7) Yes.  I was only able to add the scents that I knew of, when I built the Tracker for the first time.  If you have already-discontinued scents that are not shown, you can add them to the list, and then re-sort the list, so they're in alphabetical order.  However, don't add newly-announced discontinued scents during the year.  Keep them in the main list of scents, and the following year, the scent will be moved to the RETIRED tab.

Q9) How Do I Transfer My Inventory From Year to Year?

A9) At the moment, the only way to transfer Ending Inventory from one year, to the Beginning Inventory of the next year, is to type it in manually.  That's not to say it can't be programmed to do it automatically, it's just better not to... here's why:

In order for the CBT to automatically enter inventory from say 2009 Ending, to 2010 Beginning, the 2010 file has to be programmed to access the 2009 file's data.  This means the files need to be in the same place, and the 2009 has to carry the name I assign it.  So if you decided to rename your 2009 file, the 2010 won't know that, and it won't work.  There's simply too big a margin for error that I'm sure neither of us want to get involved with!

The easiest way, is to simply print out the INVENTORY (aka SCENTS) tab, which has all your Ending Inventory numbers for all fragrances, and virtually all products (at least the ones in production at the start of the year).  Then, open 2010, and enter the 2009 numbers into the 2010 JAN tab's Beginning Inventory column.  Just go down the list one-by-one, crossing them off your printout as you go.

When you go to the website to download a new version, just check the date extension first (at the end of the file name)... If the date on the website is later, that'll mean there's an updated version available for you to download...

The Audio Series pages will give you an overview of how to use the individual tabs of the spreadsheet, until it becomes second nature.  I recommend going through the entire series of Lessons at least once before you dig into the Tracker.

We hope to host another conference call soon, to go over the spreadsheet in more detail.  We'll send an announcement through all the Yahoo Groups we belong to.
